2020-2021 Volunteer Deposit Process & Information

 

PLEASE READ CAREFULLY TO THE END – ACTION MAY BE REQUIRED

 

Hello Bruins Families,

As part of fall fees, each family pays a $300 volunteer deposit at the beginning of the season.  Only one volunteer deposit is charged per family (usually to the eldest player’s account in a multi-player family).  This deposit encourages Bruins families to participate in the success of the Chicago Bruins Hockey Club, both at the team level, as well as at the Club level.   Without our volunteers, the organization would not be able to function effectively.  It’s your time and dedication to the Club, the teams, and your players, that help make this organization successful.  We greatly appreciate your time and dedication to the club.

Volunteer Obligation Policy:

In accordance with the Volunteer Obligation Policy (located in the Fall Registration Packet), you have the choice to either volunteer at least 10 hours of your time towards Club and / or Team activities, or to waive the volunteer obligation and forfeit the volunteer deposit. 

  • If you decided to waive the volunteer obligation, or if you have insufficient hours to submit by the deadline of March 31, 2022, your volunteer deposit is forfeited and will not be credited back to you.  No further action is necessary on your part.
  • If you decided to fulfill the volunteer obligation in accordance with the policy and wish for the deposit to be credited back to you, please perform the following steps (if you have not already done so):

Player Families:

Each family is required to complete at least 10 volunteer hours in accordance with the Bruins Volunteer Obligation Policy.  All completed volunteer hours must be documented and submitted by you, via e-mail, to your team manager.  When submitting your hours, you must include the following information: Player name, Parent name, Team, Events worked, and # of hours worked per event.  For example: Johnny Forward (Player), Melissa Forward (Parent), Midget NWHL Red, Holiday Skate: 3 hours, Tryouts: 2 hours, Scorekeeping: 5 hours.  FAILURE TO SUBMIT COMPLETE INFORMATION MAY RESULT IN FORFEITURE OF YOUR FAMILY'S VOLUNTEER DEPOSIT.

Team Manager:

Once volunteer hours and required information is submitted to your team manager, the team manager will perform a preliminary review to ensure that you hours appear to have met your volunteer obligation in accordance with Bruins policy.  Managers cannot approve volunteer hours.  If your manager believes you have not met your obligation (including unauthorized hours not in accordance with policy), they should inform you of the shortage.  Any questions regarding authorized hours may be submitted to our Director of Volunteers at Volunteer@chicagobruinshockey.com.

Director of Volunteers:

Once your team manager has reviewed your hours, the manager must then forward your hours to the Bruins Director of Volunteers for review and approval.  Only the Director of Volunteers can approve volunteer hours.  Once hours are approved for your family, the Treasurer is notified of the approval.  

Please note: If the Director of Volunteers believes you have not met your obligation, you and/or your team manager will be notified of the shortage.  Reported hours that are not in accordance with club policy will not be approved. (e.g. holding the door open to the rink while a team enters or exits the rink is appreciated, but will not be approved as volunteer time since it is not in accordance with policy).  Any questions regarding authorized hours may be submitted to our Director of Volunteers at Volunteer@chicagobruinshockey.com.

Treasurer:

Once notification of approved hours is received by the Treasurer, your Bruins account will be updated to reflect the credit, and a statement of your account will be emailed to you.   If you do not receive a statement by March 31, 2023, and you have submitted your hours for credit, please e-mail the Director of Volunteers and the Treasurer immediately.  FAILURE TO DO SO MAY RESULT IN FORFEITURE OF YOUR VOLUNTEER DEPOSIT.

Please note the following:

  • Any credits on your account will NOT show up in Sports Engine.  (See Discount / Coupon Codes below for further details).
  • All statements where a volunteer credit has been applied will be sent no later than March 31st.  

IMPORTANT: If you have completed and submitted your hours in accordance with the above process and do not receive a statement reflecting the credit back to your account by March 31, 2023, (and no effort is made on your part to contact the Treasurer and Director of Volunteers by April 15th 2023 regarding the missing volunteer hours / deposit), your volunteer deposit will be forfeited.  No credits will be applied after this date. No Exceptions.  The Treasurer’s e-mail is Treasurer@chicagobruinshockey.com.

Receiving Your Credit:

Once you have received your statement with confirmation of your Volunteer Hours posting to your account, you have several options.  Please remember that Credits on your account do not expire, and may be used towards Spring or Fall Bruins Programs.

  1. DISCOUNT / COUPON CODES:  You may choose to apply your credit towards an active registration.  To do so, please request a code from the Treasurer via e-mail prior to registering.  Upon verification by the Treasurer of any credit balances on your account, the Bruins will issue you a Discount / Coupon code, via email, which you can enter during the registration process.

IMPORTANT: Please indicate which programs and levels you intend on registering for so we can select the program to apply the discount code to, as discount codes are program specific.

  1. REFUNDS: If you prefer to receive your volunteer credit as a refund, the Bruins can either issue a check, or send funds via Chase Quickpay / Zelle. 
  2. For refunds via check, please reply via e-mail to your last statement reflecting the credit balance.  Please confirm with your mailing address, as well as who to make the check payable to.
  3. For refunds via Chase Quickpay / Zelle, please provide your e-mail, phone number, and individual associated with the Quickpay / Zelle account.
  4. Refunds will typically be issued within 7-14 days**.

**Please understand that due to the large number of families at the Bruins (400+), as well as the fact that many of Board Members, including the Treasurer, are volunteers and work regular jobs, there may be a delay in providing Discount Codes and/or Refunds.  We will work as efficiently as possible to issue all Coupon Codes and Refunds in a timely manner, and we appreciate your understanding and patience.

FALL 2022 REGISTRATION:  If you choose to carry over your volunteer credit to the Fall 2021 season, please verify that you received a final statement from the Treasurer reflecting the credit balance by March 31, 2022.  The amount will remain on your account (Credits do not expire) and can be applied to your fall registration in the SportsEngine system using a coupon code issued by the Treasurer (upon request).
